Job Description : Over the last decade, The Leonardo in downtown Salt Lake City has forged a new museum experience that fuses science, technology, and art with hands-on learning through exhibits, educational programs, and community outreach. It is our mission to inspire creativity and innovation in our visitors and serve as a community hub to explore global conversations with a local perspective.About the role: The Leonardo is seeking a highly organized Event Operations Coordinator. The Leonardo is a unique venue, located in the heart of downtown Salt Lake City. The Event Operations Coordinator will be the main point of contact for clients the day of their event. In addition, this position will work closely with Event Sales Manager to ensure that the event can be set up and executed flawlessly. The Event Operations Coordinator will interact with The Leonardo’s Operations Manager, facilities staff and all other temporary events staff/vendors on the event date. Additional responsibilities will include a variety of tasks as needed to assist Event Sales Manager and the Event Department when events are not taking place.This role is a full-time role and for the right candidate, offers a lot of potential for growth. As the museum builds up the events business after COVID, including a full hospitality and F&B team, this position has potential for upward mobility.The ideal candidate is a team player, excellent project manager, problem solver, and performs well under pressure of a highly dynamic event environment. They will have excellent communication and customer service skills and serve as the point person day of event for clients (weddings, corporate events, and other private events). This position will ensure the clients have a top-notch experience with their event, ensuring the facility, set-up, food and beverage are all meeting and exceeding expectations.The position will produce inspiring, memorable, and beautiful events at the museum while supporting the mission, vision, and purpose of The Leonardo.Core responsibilities: Ensuring all event details are met.Professional communication with Clients, Leonardo staff, and VendorsAssist Events Department as needed*Your day-to-day includes: *Responsible for management of event equipmentResponsible for taking BEO event details to execution of the eventProactively communicate with client during the eventCommunication with all pertinent Leonardo staff to create ease in the event set up process.Work closely with Event Sales Manager in logistical planning of events as neededAssist Operations Manager in staffing needs for eventsConduct tours for prospective clients and vendors as neededBuilding strong relationships to maintain future businessActing as the client’s representative to ensure delightful customer experienceCollecting and analyzing data concerning results of events hostedMaintaining a working knowledge of the complex needs of a wide variety of eventsPrepare detailed notes and checklists for coordination of eventsAssist with Bar Set Up as needed (Stocking & Inventory)Complete walk through of building upon departure.Maintain building cleanliness after the event as neededBe trained on all basic building functions at The LeonardoManage Building needs (locking or opening doors, lighting for event spaces)Manage door security dependent on the event to ensure only event guests are accessing space or directing the public to accessible areasAs needed, purchase liquor or other items for events and maintain supply and inventoryEnsure quality, clarity, consistency, and alignment to all events.Required to lift and/or move items 25-50lbsHigh level of physicality.
